External Venue Photograph Permission

The asset-specific permission used when a venue is not yet a Venues2U Partner.

1. How this permission works

Venues2U is operated by JLME LTD, a company registered in England and Wales under company number 17445352, with its registered office at 128 City Road, London City Road, London, England, EC1V 2NX("Venues2U", "we", "us" or "our").

This permission is used only where a venue is not yet operating under the Venue Partner Terms. It is presented in a secure request together with the exact photographs, recorded permission scope and any relevant customer enquiry. It does not apply to photographs that are not identified in that request.

By accepting, the person accepting confirms that they are at least 18, own the display rights in the identified photographs or are authorised by the rights holder to grant this permission, and understand that venue identity may remain protected from the customer until the appropriate stage of the Venues2U enquiry or booking process.

2. The photographs covered

The permission request must show or otherwise clearly identify every photograph covered. The acceptance record binds the selected scope to each photograph's Venues2U asset ID and cryptographic content hash, together with the permission version, rights source and acceptance time. A changed or replacement file requires a new permission record where its content hash is different.

Permission for one photograph does not extend to another photograph, a complete gallery, other content, or Private Compliance/Verification Evidence. Licences, identity documents, insurance, ownership records, alcohol authorisations and other private verification or compliance material are never made displayable under this permission.

3. Permission granted

The secure request must identify one of the following scopes before acceptance:

Specific customer enquiry

The rights holder grants Venues2U a non-exclusive, royalty-free licence to host, copy, technically adapt and display only the identified photographs in the protected venue presentation, messages and support records for the identified customer enquiry, for the period shown in the request. This does not permit general listing or unrelated promotional use.

Reusable protected Venues2U presentations

The rights holder grants Venues2U a non-exclusive, royalty-free licence to host, copy, technically adapt and display only the identified photographs in future Venues2U searches, recommendations, protected venue presentations, enquiries and related service messages while the permission remains active. It does not by itself make the venue a Venues2U Partner, create a public Partner listing or permit use outside Venues2U's venue-search, enquiry and booking service.

In either scope, technical adaptation may include resizing, cropping, compression, format conversion and responsive display, but Venues2U must not materially misrepresent the venue. Venues2U may decline, remove or restrict a photograph even where permission has been granted.

4. Automated assessment

The rights holder permits Venues2U to use automated tools and human review on the identified photographs to assess quality, safety, privacy, display rights, authenticity, usefulness and identity risk, including whether logos, signs, addresses, landmarks or other details could reveal the venue prematurely. Passing an assessment does not guarantee display.

This permission does not authorise Venues2U or its providers to use the photographs to train a general-purpose AI model. Any materially different training use would require a separate express agreement and updated privacy information where applicable.

5. If the venue joins Venues2U

If the venue later joins Venues2U, normal listing, promotional and booking-service use of content selected or submitted during onboarding is governed by the then-current Venue Partner Terms accepted during that onboarding. Venues2U will not rely solely on this earlier external-photo permission as the legal basis for the new Partner listing. This permission may continue only for prior use, audit and any unexpired use that remains expressly within its recorded scope.

6. Records, expiry and withdrawal

Venues2U records the permission scope, wording version, exact asset IDs and hashes, rights source, accepting person, timestamp, relevant enquiry where applicable, expiry and any later withdrawal. These records are handled as described in the Privacy Policy.

The rights holder may withdraw reusable permission for future display by contacting [email protected] and identifying the affected assets. We will stop new customer-facing use within a reasonable operational period, subject to information needed for an existing enquiry, legal obligations, evidence, disputes, security, backups and audit records. Withdrawal does not make earlier authorised use unlawful.
